A template instead of "copy the previous contract"
The most common practice is to take last year's file and fix the names. That's exactly where mistakes creep in: a forgotten field, someone else's details left in, the wrong amount. A template with variables rules this out — fields are filled from data, not by hand.
Variables and conditional clauses
- Variables. Placeholders in the text like "client," "amount," "date" are filled in automatically from your data.
- Conditional clauses. The document is assembled from blocks, each with its own condition. The prepayment clause appears only if the amount exceeds a threshold; the warranty clause only for applicable services.
Clause library. Instead of dozens of nearly identical templates, you keep one set of blocks and rules for when to switch each one on. This is the level that separates simple generation from actually "assembling" a document.
Where the data comes from
From the client's online form, from a case or appointment record — data is entered once and never retyped. The finished document is saved with a version history and can be sent for signature right away.
