How a notary can automate documents and the register of acts

Updated Sep 14, 2026· 6 min read

Automating a notary practice means the client fills out the intake form online before the visit, documents are generated from templates in seconds, and every action is logged automatically in the register with sequential numbering. Less manual typing means fewer errors and shorter lines.

Where a notary loses time

Most time isn't spent on the acts themselves but on prep work: re-entering party details, manually filling out templates, maintaining a paper or spreadsheet register, and calculating fees.

What automation gives you

  • Online intake form. The client enters their details and the object's information in advance via a link; the tax ID and required fields are checked automatically.
  • Document generation. Data from the intake form fills the template (power of attorney, contract, application) — the document is ready in seconds.
  • Action register. Every notarial act is logged with a registry number in "year-number" format, with no gaps.
  • Payment and receipt. The fee and receipt are generated automatically.
Clause library. Documents are assembled from ready-made conditional blocks: the right clauses drop in automatically, based on the type of action and amount.

Where to start

  1. Add the types of notarial acts you perform most often;
  2. Prepare 3-5 document templates with variables;
  3. Send clients the intake form link before their visit.

In MCC Notary, all of this is already set up: action types, fees, templates, and the register work right after deployment.
