Electronic document management (EDM) for small business

Electronic document management (EDM) is a system where documents are created, approved, signed, and stored in one place, with a defined route and version history. For a small business, that means no more lost files, a clear status for every document, and paperless signing.

What problems EDM solves

Once you're past a handful of documents a week, email and folders stop keeping up. EDM solves the usual pain points:

  • Approval. The document follows a set route (say, staff member → manager → signature), and you can see exactly where it's stuck.
  • Versions. Every edit is saved; it's always clear which version is current.
  • Signature. Documents are signed electronically, with no printing or scanning.
  • Logs and reminders. Who did what and when; the system reminds about overdue approvals.

What to set up first

  1. Describe 2-3 typical routes (contract, invoice, order) — that's enough to get started.
  2. Set up templates for your most common documents so you're never starting from a blank page.
  3. Define who signs and who approves — roles, not specific names.
Tip. Don't try to digitize every process at once. Start with the one that hurts most (say, contract approvals) — and expand once the team gets used to it.

How long it takes
