A hotel's biggest risk is double-booking
When bookings are tracked in a notebook or across several chats, sooner or later two guests end up with the same room for the same night. That means damaged reputation and refunds. A PMS removes the possibility entirely: a booking is tied to a specific room and dates, and the system won't allow two active bookings to overlap.
Rooms, types, and rates
First you describe room types (standard, junior suite, suite, family) with capacity and nightly rate, then specific rooms by floor. When a guest books, the total is calculated automatically: number of nights times the rate. This eliminates manual calculation errors and front-desk disputes.
Occupancy calendar
A clear calendar shows who's staying where and when. You can see open slots, peak dates, and gaps between bookings worth selling. Planning occupancy becomes easier than flipping through a notebook.
Check-in, check-out, and housekeeping
A guest's stay moves through clear states: booked → checked in → checked out. After checkout, the room automatically gets a "dirty" status, and housekeeping sees what needs cleaning. Cleaning statuses (clean, cleaning, maintenance) keep staff and the front desk on the same page — a guest never ends up in an uncleaned room.
Direct website bookings and invoices
The hotel has its own website with direct bookings — bookings with no middleman commission. Stays and extra services (breakfast, transfer, parking) are invoiced, including payment by bank transfer to an IBAN — how this works is described in the guide on payment by transfer.
What about Booking and Airbnb
Syncing with OTA channels (Booking.com, Airbnb) — the so-called channel manager — is a separate add-on connected as needed. The base service handles direct bookings and internal tracking; channel sync gets added once the hotel is ready for it.
